Projects with many technical challenges, integration aspects, or extensive customizations may demand more time and energy from the project manager. <\/p>\n<p><strong>Example:<\/strong> Implementing \u201conly\u201d financial accounting in an ERP project is usually less complex than turning an entire company upside down by rolling out the new solution across all business areas\u2014and not simply <strong><em>\u201cmaking the old new again\u201d<\/em><\/strong>, but truly digitally transforming the company. (new paint on an old car)<br \/>\nComplexity also includes topics such as integrating third-party systems, additional locations\u2014especially abroad\u2014whether the pure standard can be used, etc. <\/p>\n<p>&nbsp;<\/p>\n<p><strong>Project duration<\/strong><\/p>\n<p>The length of the project timeline matters. Project managers may be able to lead several shorter projects at the same time, while long-running projects may require more focus. <\/p>\n<p><strong>Example:<\/strong> A project that lasts only 6 months is certainly less complex than one that lasts 18 months\u2014especially because longer projects also require you to deal with potential necessary changes that arise in a dynamic business environment.<br \/>\nIn addition, long projects carry the risk of losing focus and motivation. <\/p>\n<p>&nbsp;<\/p>\n<p><strong>Resource availability<\/strong><\/p>\n<p>The availability of qualified team members and other resources affects the project manager\u2019s workload. If sufficient resources are available, the project manager may be able to handle multiple projects. <\/p>\n<p><strong>Example:<\/strong> Given the current situation regarding availability, project managers tend to plan as rigidly as possible. A well-coordinated team can work more independently and may require less intensive oversight. <\/p>\n<p><strong>Example:<\/strong> Industry-focused teams are always best. Those who have often worked together can hopefully do it better than a group of newcomers where everyone still has to prove themselves. Roles and responsibilities are often clearer, too.  <\/p>\n<p>&nbsp;<\/p>\n<p><strong>Project management tools<\/strong><\/p>\n<p>Using effective project management tools can make it easier to organize and keep track of multiple projects. These tools help project managers manage tasks, milestones, and resources more effectively. <\/p>\n<p><strong>Example:<\/strong> Far too often, <strong><em>\u201cthe shoemaker\u2019s children still have the worst shoes.\u201d<\/em><\/strong> In other words, they sell you project management and digitalization tools, but do not use them themselves\u2014or use them only minimally or very rudimentarily. It sounds strange, but it is true. Only with the right tools can a project manager efficiently lead multiple projects.<br \/>\nThese tools should cover topics such as task management, documentation, project planning, cost and schedule controlling, etc. MS Excel\u00ae, Outlook\u00ae and the like are not good alternatives.   <\/p>\n<p>(See also my blog post <a href=\"https:\/\/blog.der-digitalisierungsberater.de\/en\/task-management-with-excel-or-outlook-is-not-an-option\/\">https:\/\/blog.der-digitalisierungsberater.de\/aufgabenmanagement-excel-outlook\/<\/a>)<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Delegation instead of doing everything yourself<\/strong><\/p>\n<p>Unfortunately, many project managers are also <strong><em>\u201cmicromanagers.\u201d<\/em><\/strong> No one can do anything right in their eyes; you have to decide everything and, if necessary, do it yourself. Only you have the experience, and you have to determine things\u2014after all, only you are responsible.<br \/>\nAnyone who thinks like that has a problem. And the more projects they have, the more problems there will be. That is when you need to let go and delegate. Not so easy for some project managers.    <\/p>\n<p><strong>Example:<\/strong> If a project manager realizes it is becoming too much, they should look at which tasks they can delegate to whom. Motivation is one of the most important criteria, because the person receiving the delegated task must understand why and be willing to take it on. <strong><em>\u201cpar ordre du mufti\u201d<\/em><\/strong> works too, but it is far from ideal.<\/p>\n<\/div><\/div><div class=\"w-separator size_small\"><\/div><div class=\"w-separator size_small\"><\/div><div class=\"w-image align_center\"><div class=\"w-image-h\"><img decoding=\"async\" width=\"500\" height=\"334\" src=\"https:\/\/blog.der-digitalisierungsberater.de\/wp-content\/uploads\/2023\/08\/Teilen.jpg\" class=\"attachment-large size-large\" alt=\"\" loading=\"lazy\" srcset=\"https:\/\/blog.der-digitalisierungsberater.de\/wp-content\/uploads\/2023\/08\/Teilen.jpg 500w, https:\/\/blog.der-digitalisierungsberater.de\/wp-content\/uploads\/2023\/08\/Teilen-300x200.jpg 300w\" sizes=\"auto, (max-width: 500px) 100vw, 500px\" \/><\/div><\/div><div class=\"w-separator size_small\"><\/div><div class=\"wpb_text_column\"><div class=\"wpb_wrapper\"><p style=\"text-align: center;\">Learning how to share and distribute work<\/p>\n<\/div><\/div><div class=\"w-separator size_small\"><\/div><div class=\"wpb_text_column\"><div class=\"wpb_wrapper\"><p><strong>Communication and conflict culture<\/strong><\/p>\n<p>The project manager\u2019s ability to communicate effectively is crucial. The better communication works within the team, the more projects a project manager can coordinate.<br \/>\nHuman aspects must always be taken into account as well. <\/p>\n<p><strong>Example:<\/strong> A problem arises in the project. Now it is up to the project manager to intervene in the right way\u2014neither playing the boss nor letting everyone just carry on until everything escalates for good. <strong><em>\u201cunderstand and lead\u201d<\/em><\/strong> could be the motto here. <\/p>\n<p>Only those who can respond to the people in the project appropriately and have communication under control within the right culture are able to lead a project successfully.<\/p>\n<p>By the way, a project also includes the occasional argument. A good project manager then gets everyone back in the same boat\u2014and the team keeps rowing! <\/p>\n<p>&nbsp;<\/p>\n<p><strong>Personal time management<\/strong><\/p>\n<p>The project manager\u2019s ability to manage their own time efficiently plays a major role. Structured time management makes it possible to oversee multiple projects at the same time.<br \/>\nThis also applies to the ability to correctly estimate and assess time and effort in advance. <\/p>\n<p><strong>Example: <\/strong>This is where the topic of project management tools comes into play again. Anyone who does not have cross-project time management and simply plans everything in Outlook is definitely overwhelmed with their scheduling. <\/p>\n<p>&nbsp;<\/p>\n<p><strong>Stress and workload<\/strong><\/p>\n<p>Too many projects can lead to stress and overload, which can impair the efficiency and quality of the projects. The project manager\u2019s health and performance should not be neglected. <\/p>\n<p><strong>Example:<\/strong> Americans talk about <strong><em>\u201cwork hard and play hard\u201d<\/em><\/strong> or <strong><em>\u201cwork-life balance.\u201d<\/em><\/strong> However, these are usually just empty phrases. But if, as a project manager, you do not recognize yourself that it is becoming too much and you are not able to say \u201cNO,\u201d then it is your own fault.  It sounds simple. That is just how it is.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Ego and dependency<\/strong><\/p>\n<p>Many project managers like it when people <strong><em>\u201cneed\u201d<\/em><\/strong> them and there apparently is no one else who can do it<strong><em>.<\/em><\/strong> Especially when they are seen as a <strong><em>\u201cbrilliant project manager\u201d<\/em><\/strong> who can make anything work. That may be good for the ego, but not for the project. The corporate culture mentioned below should then consider what the <strong><em>\u201creward systems\u201d<\/em><\/strong> actually look like\u2014systems that do not appeal to the individual\u2019s ego.  <\/p>\n<p><strong>Example:<\/strong> A project manager does not document many things publicly\u2014or at all\u2014because it is in their <strong>\u201chead\u201d<\/strong>, making everyone dependent on their head.<br \/>\nPassing knowledge on or training new colleagues is also not <strong><em>\u201ctheir thing.\u201d<\/em><\/strong><br \/>\nThat is one way to make yourself seem important, but overall it harms the project.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Corporate culture<\/strong><\/p>\n<p>The company\u2019s work culture and support for project managers also influence how many projects can be led efficiently. If the organization has a culture of support and provides resources, a project manager may be able to lead more projects successfully. <\/p>\n<p><strong>Example:<\/strong> If management wants to generate revenue at all costs and believes \u201cwe\u2019ll sort it out somehow,\u201d it will always be carried on the employees\u2019 backs. Growth at any price is not really an option.
